Fast follow-up starts before the event ends. The note taken at the booth should tell the next person what the visitor wanted and what was promised.
Capture context, not just contact details
Record the product or topic discussed, the visitor’s urgency, a short requirement and the agreed next step. A lead marked Hot without context is still difficult for another salesperson to action.
Use a focused daily rhythm
- Review Hot leads at the end of every exhibition day.
- Assign an owner and a follow-up date.
- Choose the approved message that matches the visitor’s interest.
- Preview the message, then hand it to WhatsApp or email for a person to send.
- Log that the follow-up was opened and update the status when a real response arrives.
Keep reporting honest
Opening WhatsApp is not the same as delivery, and delivery is not the same as a reply. Track the action you know happened, then use the event report to see which interests and next steps led to the strongest outcomes.
