From account setup to a complete event archive.

Set up on the web, capture on the mobile app, and manage follow-up and reporting from either workflow without losing the connection to the original exhibition.

BEFORE THE EVENT

Build the operating context first.

Complete your company profile

Open the Exhibitor dashboard. Add the company identity, contact details and branding that visitors should recognise on public pages.

Create the exhibition

Go to Event Operations → Events. Add dates, venue, hall, booth, timezone and capture requirements. Keep it Draft while configuring, Scheduled when ready, and Active only when capture should begin.

Configure interests and visitor QR

Create reusable product or interest items, enable the relevant ones for the event, then generate a private visitor QR link. Test the form before printing the QR.

Invite and assign the team

Create team members, then assign each person to the event with the minimum capture, editing and reporting visibility they need. Ask every user to complete one test sign-in before event day.

Capture while the conversation is fresh.

Select the active event

Open the ExpoCollect mobile app, confirm the correct exhibition and check that synchronization is healthy.

Scan or enter manually

Use on-device business-card recognition or manual entry. Review the name, company and contact details; OCR never saves unconfirmed fields.

Qualify in the moment

Select product interests, Hot/Warm/General priority, a concise note and an optional follow-up date.

Keep working offline

A Pending Sync label means the lead is safe on that device but not yet on the server. Keep the same user signed in until synchronization completes.

Event-day rule

Do not sign out, uninstall the app or clear app data while leads remain pending on the device. Use Settings → Sync now when connectivity returns.

Turn capture into follow-up.

Review, assign and resolve duplicates

Use lead filters and timelines to review Hot leads first. Managers can assign ownership and merge genuine duplicates without destroying the original audit history.

Use approved follow-up templates

Preview the personalised wording, then open WhatsApp or email for a deliberate user send. ExpoCollect records the handoff intent, not a false delivery claim.

Report, export and archive

Review source, priority, interest, geography and staff performance. Generate filtered CSV/XLSX exports or a full event archive, then download before the secure link expires.
